SonaMinds Terms of Use

1. Scope and acceptance

By accessing or using SonaMinds, you agree to these Terms of Use. If you use SonaMinds on behalf of an organisation, you represent that you have authority to accept these terms for that organisation.

If you do not agree to these terms, you must not use SonaMinds.

2. SonaMinds services

SonaMinds provides tools for creating and managing AI Assistants based on expert-owned knowledge. The service may include workspaces, document processing, retrieval, generated answers, citations, access controls, access links, usage records, and related account features.

SonaMinds is a web-based service. The official product entry is app.sonaminds.com.

3. Accounts and authority

You are responsible for the accuracy of account information, the confidentiality of login credentials, and all activity that occurs under your account or workspace.

You must ensure that workspace settings, Assistant instructions, access permissions, and shared links are configured for the audience and purpose you intend.

4. Expert materials and permissions

You retain ownership of documents, course materials, FAQs, transcripts, templates, Assistant instructions, prompts, and other content that you provide to SonaMinds.

You grant SonaMinds the rights necessary to host, process, retrieve, display, and generate answers from that content for the purpose of providing and operating the service.

You may delete individual knowledge sources from your workspace. When a knowledge source is deleted, SonaMinds will remove it from active retrieval and service systems so it is no longer used to generate AI answers, subject to legal, billing, security, backup, audit, and dispute-resolution retention requirements.

You must not upload, share, or publish content through SonaMinds unless you have the rights and permissions required to do so.

5. Client access

SonaMinds allows experts, creators, educators, consultants, and organisations to share controlled access to AI Assistants with their own clients, students, members, or visitors.

Your clients do not need to register a SonaMinds account to use a shared Assistant unless SonaMinds or the workspace configuration requires account-based access for a particular feature.

SonaMinds does not directly charge or bind your clients for your own services. You remain responsible for your customer relationships, fees, professional obligations, notices, and any consent you need from your audience.

6. AI answers and professional judgment

AI answers generated through SonaMinds may be incomplete, outdated, or incorrect. Citations and source references are intended to support review, but they do not guarantee that every answer is complete, accurate, or suitable for every situation.

You are responsible for reviewing outputs before relying on them for important decisions. Legal, medical, financial, safety, regulatory, or other high-impact decisions must remain subject to appropriate human judgment and professional review.

7. Acceptable use

You must use SonaMinds lawfully and responsibly. You must not:

• attempt to bypass security, access controls, quotas, rate limits, or technical protections;
• interfere with the operation of SonaMinds or with another user's use of the service;
• use SonaMinds to create or distribute unlawful, deceptive, abusive, exploitative, infringing, or unsafe content;
• upload sensitive, regulated, or highly confidential information unless you have authority and a suitable written agreement; or
• misrepresent an AI Assistant as a human or as providing regulated professional advice where that would be misleading or unlawful.

8. Plans, fees, and service limits

Plans may include limits on AI answers, Assistants, storage, documents, seats, access passes, and other service features. Limits help keep service quality, cost, and client access predictable.

Paid plans, if enabled for your account, may include recurring fees, taxes, renewal terms, and usage records shown at signup, in the web app, or in a written order or agreement.

9. Privacy and data handling

SonaMinds handles personal information in accordance with the SonaMinds Privacy Policy. You are responsible for providing any notices and obtaining any consents required for content, client access, student access, or other information you choose to process through SonaMinds.

You may request deletion or export of personal information and workspace data associated with your account, as described in the Privacy Policy and subject to applicable legal, security, billing, backup, and operational limits.

10. Suspension and termination

You may stop using SonaMinds at any time. SonaMinds may suspend or terminate access if these terms are breached, if account activity creates security, legal, operational, or reputational risk, or if required by law.

Experts may close their account or request deletion of their workspace. After closure or deletion, SonaMinds will disable access where applicable and delete or de-identify workspace data, including uploaded knowledge sources, client access records, questions, answers, citations, and related content, except where limited retention is needed for legal obligations, billing, tax, security, fraud prevention, backups, audits, or dispute resolution.

11. Availability and changes

SonaMinds aims to provide a reliable service, but availability may be affected by maintenance, third-party providers, security issues, technical incidents, or events outside our control.

SonaMinds may update features, limits, pricing, and these terms. Where required, SonaMinds will provide notice of material changes.

12. Liability and governing law

To the maximum extent permitted by law, SonaMinds is provided without warranties that are not expressly stated. Nothing in these terms excludes rights, guarantees, or remedies that cannot be excluded under applicable law.

These terms are governed by the laws of New South Wales, Australia, unless a mandatory law requires otherwise.
